Shipping & Mailing
From March 29, 2017 – April 2, 2017, materials can be shipped to and stored at the Hotel Roanoke and Conference Center.
Each box must be labelled with:
- The Exhibitor’s name
- The on-site Exhibitor representative’s name (primary Exhibitor registrant)
- The term “Exhibitor”
To make shipping and tear-down easier, we recommend coming with a completed shipping bill and labels for return.
Set-Up & Tear-Down
Tables will be available for set up starting at 7:00 p.m. Tuesday, April 11, 2017. Signage will be placed on all tables and exhibitor committee staff will be on site from 7:00 p.m. to 11:00 p.m. Tuesday evening, and again starting at 7:00 a.m. Wednesday morning. Set up of tabletop exhibits must be complete by 9:00 a.m. Wednesday, April 12, 2017 to allow for hotel tape down of electrical lines. Exhibit materials will be accepted at Hotel Roanoke & Conference Center for storage starting Wednesday, March 29, 2017.
Exhibits shall be dismantled between 4:00 p.m. and 6:00 p.m. Thursday, April 13, 2017. Teardown will not be permitted at any other times without special permission from the VCCS in an effort to ensure no disruption of conference activities. All materials must be removed by 6:00 p.m. Thursday, April 13, 2017. If spaces are not vacated by that time, VCCS reserves the right to remove materials from the halls and charge the expense to the exhibitor. VCCS will not be liable if such removal causes damage to the materials.
